Sr. Associate (General Affairs) (#SEP5-01)
Position Summary
This position is a pivotal role responsible for the seamless day-to-day operations of our U.S. office. This position encompasses a wide range of duties including office administration, executive support, financial processing, HR coordination, and facilities management. The ideal candidate will be a proactive problem-solver who ensures a safe, efficient, and productive work environment for all employees.
Key Responsibilities
- Primary Liaison to Headquarters: Serve as the main point of contact and ensure seamless, transparent communication between U.S.-based staff and management at our Korean headquarters. This requires absolute fluency in Korean.
- Cross-Cultural Coordination: Proactively identify and mediate potential misunderstandings arising from differences in business and workplace culture. Act as a cultural ambassador to foster mutual understanding and efficient collaboration between all teams.
- Executive Visitor Support: Manage end-to-end logistics for all visiting executives and employees from headquarters, including itinerary planning, airport transfers, hotel accommodations, and meeting coordination.
4. Headquarters Reporting: Prepare and submit regular detailed reports to headquarters management on office operations, significant developments, project status, and budget performance.
- Office Administration &ampamp Operations
- Manage the overall office environment, ensuring cleanliness, safety, and organization.
- Oversee office equipment (printers, copiers, etc.) manage maintenance contracts and troubleshoot issues.
- Manage all incoming and outgoing mail and packages, including courier services.
- Maintain inventory and purchase all office supplies, kitchen staples, and snacks.
- Coordinate meeting room schedules and provide setup support for internal and external meetings.
- Financial &ampamp Budget Support
- Process and manage payments for all office utilities (electricity, water, gas, internet, phone).
- Manage corporate credit card reconciliations for office-related purchases.
- Handle petty cash and minor expense reporting.
- Assist in the preparation and monitoring of the office operations budget.
- Human Resources Support
- Facilitate new hire onboarding: prepare workspaces, order equipment, issue access cards/badges, and arrange business cards.
- Maintain time &ampamp attendance and paid time off (PTO) records for staff.
- Provide primary support for employee benefits administration and inquiries.
- Assist in planning and executing company events, meetings, and workshops.
- Facility &ampamp Vendor Management
- Act as the primary point of contact for the landlord and manage the office lease agreement.
- Maintain the office asset inventory (IT equipment, furniture, etc.).
- Manage security systems (access cards, CCTV) and building access.
- Source, negotiate with, and manage vendor relationships (cleaning, security, maintenance, catering).
- Communication &ampamp Support
- Serve as a key communication link between U.S. staff and Korea headquarters.
- Greet visitors and clients, providing a professional first impression.
- Manage company vehicle maintenance and scheduling (if applicable).
- Ensure office compliance with relevant local regulations.
Required Qualifications &ampamp Skills
- Bachelor’s degree or equivalent practical experience.
- Minimum of 3+ years of experience in an Office Manager, Administrative Assistant, or similar role.
- Bilingual proficiency in English and Korean is required to communicate effectively with headquarters.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and multitasking skills with a strong attention to detail.
- Proven ability to work independently, take initiative, and problem-solve.
- Excellent interpersonal and communication skills (verbal and written).
Preferred Qualifications
- Experience working in a U.S. subsidiary of a Korean company.
- Basic experience with accounting/financial processes (AP, expense reporting).
- Experience with HRIS or timekeeping software.
- Basic IT and network troubleshooting knowledge.
$ 50,000 - $70,000 / Year
